EvolveDigital is organized by Evolving Web Inc. This policy explains how we collect, use, disclose, and protect personal information related to EvolveDigital events.
Information we collect
When you register for or participate in EvolveDigital, we may collect: your name, email address, organization, job title, and location; your ticket type, registration details, and attendance information; billing and transaction information; dietary, accessibility, or accommodation information you choose to provide; your communication and marketing preferences; information you provide through surveys, session submissions, contests, or communications with us; photographs, video, or audio recordings taken at the event; and technical information collected when you use our websites, such as your IP address, browser type, and cookie data.
Payment card information is processed by our ticketing and payment providers. EvolveDigital does not normally receive or store complete payment card details.
How we use your information
We may use your information to: process registrations, payments, refunds, and ticket transfers; send confirmations and important information about the event; manage attendance, accessibility requests, dietary needs, and event safety; respond to questions and provide support; plan and improve EvolveDigital events; send information about future EvolveDigital events or related activities where permitted by law; create and publish event photography, recordings, and recaps; and prevent fraud, protect our systems, and comply with legal obligations.
You may unsubscribe from promotional emails at any time. You may still receive operational messages relating to an event for which you have registered.
How we share information
We may share personal information with service providers that help us operate the event, including: co-organizers; ticketing and payment providers; email, website, registration, and survey platforms; and event venues. These providers may use the information only as needed to provide services to us, subject to their contractual and legal obligations.
We do not sell attendee personal information. We will not provide your contact information to sponsors, exhibitors, or other attendees for their independent marketing unless you have expressly agreed to that sharing. We may disclose information where required by law, to respond to a legal process, or where reasonably necessary to protect the rights, safety, or property of EvolveDigital, Evolving Web, event participants, or others.
Photography and recording
EvolveDigital events may be photographed, filmed, or recorded. Attendees may appear incidentally in event photos and recordings used to document and promote EvolveDigital and Evolving Web. Attendees who do not want to be individually featured in photographs may notify the registration team when they arrive or contact info@evolvedigital.com before the event.
Cookies and analytics
Our websites and registration services may use cookies and similar technologies for essential functions, analytics, security, and, where applicable, marketing. Available cookie controls and browser settings may be used to limit non-essential tracking. Our descriptions of these technologies and any privacy controls we provide are intended to accurately reflect how they operate.
International processing
Evolving Web is based in Canada, and our service providers may process information in Canada, the United States, or other countries. As a result, personal information may be subject to the laws of the country where it is processed and may be accessible to courts, law enforcement agencies, or government authorities in that country.
How long we keep information
We retain personal information only for as long as reasonably necessary for the purposes described in this policy, including operating events, maintaining financial and business records, resolving disputes, and meeting legal obligations. Information that is no longer required will be securely deleted, destroyed, or anonymized, as appropriate. Event photographs and recordings published as part of EvolveDigital's historical and promotional materials may be retained for a longer period.
Security
We use reasonable administrative, technical, and physical safeguards intended to protect personal information against unauthorized access, loss, misuse, or disclosure. No system or method of electronic transmission is completely secure, and we cannot guarantee absolute security.
Your privacy rights
Depending on where you live, you may have the right to:
- Request access to personal information we hold about you.
- Ask us to correct inaccurate or incomplete information.
- Withdraw consent where our use of your information is based on consent.
- Ask questions or make a complaint about our privacy practices.

To make a privacy request, contact info@evolvedigital.com. We may need to verify your identity before completing the request. Withdrawing consent does not affect uses already made with valid consent and may limit our ability to provide certain services.
Children
EvolveDigital is intended primarily for professional audiences and is not directed to children under 13. We do not knowingly collect personal information from children under 13 without appropriate authorization.
Changes to this policy
We may update this policy when our practices, services, or legal obligations change. The updated version will be posted with a revised “Last updatedˮ date. Where required, we will provide additional notice or obtain consent before making a material change.
